Asset Management is imperative
Organisations have traditionally found it difficult to keep track of movable assets such as IT equipment. Items can simply ‘disappear off the map’ after they are purchased, leaving firms unable to establish basic answers to questions such as how many assets they own and of what type, where they are currently located, which ones need to be serviced or replaced, which ones are eligible for a free upgrade, which ones are under warranty, or how much each individual asset – and the overall asset estate – is worth.
While businesses have muddled through in the past without being able to access this information, three trends in the current business climate are making this lack of insight into the management of company assets unacceptable.
Software License Compliance:
Software vendors are becoming much more aggressive when it comes to ensuring that organisations are using legally compliant versions of their software. With the penalties for failing to ensure this including delivery up of equipment, unlimited fines and even prison sentences, it is imperative that organisations control their software assets adequately.
Regulatory Change:
Changes in the regulatory landscape are forcing organisations to monitor and track assets more closely. Financial accounting rules, from the US Sarbanes-Oxley Act to the International Financial Reporting Standards now in force in the EU, require companies to account in greater depth for all of their assets throughout their lifecycle. The EU Waste Electrical and Electronic Equipment directive, meanwhile, requires organisations to manage, document and record asset disposal in detail.
Cost control and margin improvement:
Organisations need to adopt tighter asset management as a way to control costs and improve margins. The ability to track assets throughout their lifecycle has been proven to deliver significant cost savings. Many organisations, for example, pay for assets to be maintained and repaired without realising they are still under warranty, because they have been unable to keep track of warranty information. Similarly, new assets are often bought because perfectly serviceable existing assets have been misplaced or are missing from the register.
Kodit’s professional services fall into three areas: Asset Management Services, Asset Audit and Technical Services.
Asset Management Services:
For organisations new to asset management, managed service providers and organisations that require a complete overhaul of existing asset management practices, Kodit can conduct a detailed review and appraisal of your requirements and draw up an appropriate asset management strategy accordingly. During the review our expert consultants will use our ‘RADIO’ methodology to take into account your current and likely future regulatory compliance obligations, your legal obligations (e.g. software licensing), and any other objectives and outcomes you would like to achieve from your asset management practices. For managed service providers, this will also include a review of the Service Level Agreements that you are currently contracted to meet.
Asset Audit:
Kodit will undertake a full asset discovery and auditing project to provide your organisation with a complete and 100% accurate record of all assets in your estate. Our team of expert auditors use handheld PDAs equipped with barcode and/or RFID tag readers to gather all the required information about each asset, using Kodit’s AccuCheck software to ensure that the data gathered is consistent and complete. Kodit’s asset auditing service is conducted by asset management experts with a view to creating for you a comprehensive record of your assets. This record will provide you with an accurate and detailed insight into your asset estate for regulatory compliance, asset optimisation and internal cost control purposes.
Technical Services:
Kodit’s expert technical staff can assist organisations of any size with the specification, selection, implementation, testing, population and ongoing management of the asset management systems environment. Whether you are looking to implement a complete new asset management solution, or simply to create a new workflow to automate and streamline existing asset management practices, our expert IT consultants can help. Kodit operates independently of any software or hardware vendor, but at the same time we can draw on our relationships with leading enterprise and database software vendors, to deliver in-depth systems knowledge and expertise.
